About the Client (Industry) A New York–based private equity firm focused on healthcare. The team operates in a fast-paced, high-touch environment and is currently in an active fundraising cycle with a heavy cadence of LP/investor meetings. You will support the Head of Investor Relations (VP) and collaborate with two team members (Analyst & Associate), as well as in-house executive assistants and external investors/LPs.
What You’ll Do
● Calendar Ownership (Primary):
○ Manage complex, high-volume calendars across multiple stakeholders; schedule and reschedule LP/investor meetings, diligence calls, and internal coordination. ○ Handle “email hockey” with EAs at partner firms to lock times, resolve conflicts, and ensure airtight confirmations.
○ Maintain recurring 1:1s, team standups, and time blocks; buffer for travel, prep, and debriefs.
● Inbox & Coordination Support:
○ Draft professional, concise scheduling emails; follow up proactively so nothing slips through the cracks.
○ Surface priorities, hold the team accountable to next steps, and flag items that require executive attention.
● Meeting Readiness & Follow-Through:
○ Prepare and circulate calendar invites with correct titles, dial-ins/links, attendees, and materials.
○ Track pending invites, RSVPs, and reschedules; keep a simple log of touchpoints and open loops.
● Stakeholder Liaison:
○ Coordinate directly with LPs, bankers, consultants, and internal EAs with polish and discretion.
○ Uphold a white-glove, investor-facing tone at all times.
● Light Admin Support (as needed):
○ Maintain contact lists; update simple trackers (e.g., pipeline of investor meetings).
○ Book internal rooms or virtual bridges; arrange small logistics around key meetings.
Tools You’ll Use

Qualifications
● 3–5+ years as an Executive Assistant, Scheduling Coordinator, or IR/PE/Finance admin supporting senior leaders.
● Proven mastery of Outlook for complex, multi-party scheduling.
● Excellent written and verbal English; professional etiquette with senior, external stakeholders.
● Extreme attention to detail; strong follow-through and time management across changing priorities.
● Availability to work U.S. Eastern Time (full NYC workday).
● High discretion with confidential investor and firm information.

● Prior exposure to private equity, investment banking, asset management, or healthcare environments.
